The AMCA assists with event organization in the following ways:

  1. Event Listing: All events must be listed on the AMCA website, and the AMCA provides assistance with this process.
  2. Registration and Sign-On: The AMCA facilitates registrations via its website and ensures sign-ons are completed through QR scans using its app.
  3. Real-Time Attendance Tracking: The app allows event organizers and the AMCA to track attendance in real-time, even in areas with no mobile reception.
  4. Communication Tools: The app includes a group chat feature, enabling registered participants to communicate with each other and allowing event organizers to send messages to all participants.
  5. Event Management: Event organizers have back-end access to their event details, allowing them to easily update and relaunch repeat events.
  6. Insurance Coverage: The AMCA provides APRA-approved insurance for recreational and racing operations, including camping activities (with specific exclusions like campfires).
  7. Guidelines and Resources: The AMCA provides track marking guidelines, rider briefing templates, and other resources to ensure safe and compliant event operations.
  8. Support for Safe Events: Clubs are rewarded for running safe events, encouraging adherence to safety standards.

  1. Rider Briefing: Ensure all riders attend a comprehensive briefing before riding. Include safety instructions, track conditions, and guidelines for experienced riders overtaking beginners.

  2. Sweep Riders: Assign enough sweep riders based on the course's length, difficulty, and rider count. Sweep riders should ride in pairs, carry fully charged mobile phones, and a 5-watt UHF radio.
  3. Event Officials: Ensure all officials, including sweep riders and marshals, wear high-visibility vests for easy identification.
  4. Emergency Preparedness: Have suitably qualified and equipped First Aid personnel present during the event. Create an emergency action card with the property address and GPS coordinates.
  5. Track Marking Guidelines: Adhere to AMCA's track marking guidelines to ensure clear directional signage and safe track design. Review the guidelines here.
  6. Starlink for Communication: Use Starlink for Wi-Fi calling in areas with poor mobile reception to ensure reliable communication during emergencies.
  7. Incident Reporting: Report all injuries requiring medical attention to AMCA within 48 hours. For serious injuries or fatalities, contact Greg Peterson immediately and preserve the scene for police investigations.
  8. Spectator Safety: Keep spectators away from the track, especially outside corners, and use warning signs to highlight potential hazards.
  9. Track Design: Avoid placing tracks near manmade structures, wire fencing, culverts, or washaways. If unavoidable, inform riders during the briefing and record the briefing for accountability.
  10.  Campfire Safety: If camping is part of the event, ensure campfires are contained, safe, and extinguished when unattended. Provide fire extinguishers at each campsite.

    By implementing these measures, your club can significantly improve event safety training and ensure a safer environment for participants and spectators.

The AMCA assists with event registrations in the following ways:

  1. Online Registration: All registrations are processed through the AMCA website, which includes the waiver process and electronic sign-on for participants, spectators, and crew.
  2. QR Code Sign-On: Sign-ons are completed via QR scan using the AMCA app. This allows real-time tracking of attendees, even in areas without mobile reception (data uploads when reception becomes available).
  3. Mobile App Features:
    • The app includes a group chat feature, enabling communication between participants and event organizers.
    • Event organizers can message all participants directly, avoiding missed emails or junk folder issues.
    • If a participant does not have a mobile phone, the organizer can manually sign them in using the app.
  4. Event Management: Organizers have back-end access to their event details. For repeat events, they can update details like the event date and make the event live again.

These tools streamline the registration process, improve communication, and enhance event management efficiency.
 

What first aid requirements are necessary for events?

The document specifies the following first aid requirements for events:

  1. Qualified First Aid Personnel: Suitably qualified and equipped First Aid persons must be present during the riding period.
  2. Emergency Action Card: Create an emergency action card that includes the property address and GPS coordinates to assist in case of emergencies.
  3. For major events: Notify the local area health service of the event approximately 3 months in advance.
  4. Incident Reporting:
    • Report all injuries requiring medical attention to the AMCA within 48 hours of the event.
    • For serious injuries or fatalities, contact Greg Peterson immediately after notifying emergency services or as soon as practical under the circumstances.
  5. Preservation of Scene: For life-threatening injuries or deaths, preserve the scene as best as practical and stop the event. Do not alter or disturb the scene until police investigations are completed.

By ensuring these requirements are met, your event will be better prepared to handle medical emergencies effectively.

To submit event rules to the AMCA, clubs and promoters need to:

  1.       Prepare Rules and Supplementary Regulations: Draft the event rules and supplementary regulations (supp regs) for the event.
  2.       Submit for Review: Send the prepared rules and supp regs to the AMCA for review and approval.

This process ensures that the event complies with AMCA standards and guidelines.

What types of events require a race steward?

Race stewards are only required for race series and championships.
Club rounds and individual events do not require a race steward.

What are the responsibilities of AMCA officials?

AMCA officials are responsible for ensuring the smooth and safe operation of events. Their key responsibilities include:

  1. Experience and Competence: Officials must have experience and knowledge of the rules they operate under and be competent in the discipline they are officiating for.
  2. Nomination: Clubs and promoters can nominate their officials for events to the AMCA.
  3. Safety Oversight: Officials are required to wear high-visibility vests during events.
  4. Adherence to Rules: Officials ensure compliance with event rules, track marking guidelines, and safety protocols.

For championships and race series, officials must operate to a standard set of rules to ensure consistency.

If a participant does not have a mobile phone, the event organiser can manually sign in attendees using the AMCA app. ​
This ensures that all attendees can be registered and accounted for, regardless of whether they have access to a mobile device. ​

Ideally, an event organiser should utilise Starlink for sign-on and safety purposes. 12v volt versions are available.

The registration process facilitates.

  1. Waiver Process: Participants go through the waiver process during registration. ​

  2. Electronic Sign-On: Registration includes electronic sign-on for participants, spectators (if required), and crew. ​

  3. Real-Time Attendance Tracking: The AMCA app tracks who is attending the event in real-time, ensuring accurate records of all registered individuals. ​

This ensures that all necessary legal and attendance information is captured efficiently during the registration process. ​

At AMCA-sanctioned events, the following officials are required:

  1. Event Officials: Clubs and promoters can nominate their officials for their events to the AMCA. ​ These officials must have experience and knowledge of the rules they operate under and be competent for the discipline they are officiating for. ​

  2. Race Stewards: Not required for club rounds or individual events. ​ Stewards are only required for race series and championships, which must operate under a standard set of rules to ensure consistency. ​

  3. Sweep Riders: Sufficient sweep riders must be present, appropriate to the course's length, difficulty, and the number of riders. ​ They must ride in pairs, carry a fully charged mobile phone, and a 5-watt UHF radio. ​

  4. First Aid Personnel: Suitably qualified and equipped First Aid persons must be present during the riding period. ​

All event officials are required to wear high-visibility vests, including sweep riders and marshals. ​

Recognition of Accredited Race Officials

AMCA values the experience within the sport. Not only do we recognise and accept already accredited race officials from other motorcycling bodies, we also recognise & understand that many experienced volunteers are willing and capable to act as officials at their own local club rounds, reducing duplication and ensuring their skills can be put straight to use at your event.

Importantly, clubs won't be left hunting for officials, as race stewards are required for series and championships only.

AMCA clubs are required to utilize Member Jungle for the following reasons:

  1. Registration and Waiver Process: All registrations for events are processed through the AMCA website, which takes participants through the waiver process and allows for electronic sign-on, including for spectators(where required) and crew. ​

  2. Real-Time Attendance Tracking: The Member Jungle app and QR scan feature enable event organizers and AMCA to see who is attending the event in real time. ​ This system works even without mobile reception, as the information uploads to the website once reception becomes available. ​

  3. Communication: The app includes a group chat feature, allowing all registered participants to communicate with each other. ​ Event organizers can also send messages to all participants, ensuring important information is not missed or lost in junk folders. ​

  4. Ease of Event Management: Event organizers have back-end access to their events. ​ For repeat events, they can simply update details like the event date and make the event live again. ​

  5. Sign-In Flexibility: If a participant does not have a mobile phone, the event organizer can sign them in using the app. ​
